Job Description

  • Manage complex calendar, including scheduling meetings, appointments, and travel arrangements (flights, accommodation, transport).
  • Coordinate and prioritise internal and external engagements, ensuring all materials are prepared in advance.
  • Serve as the main point of contact to screen and direct communications efficiently.
  • Prepare detailed travel itineraries and handle expense reporting.
  • Maintain organised physical and digital filing systems for efficient document access.
  • Support high-level meetings by preparing agendas, minutes, and tracking follow-ups.
  • Oversee office resources and liaise with IT and support teams as needed.
  • Assist in organising events such as seminars, workshops, and conferences.
  • Handle sensitive information with the highest level of confidentiality.
  • Facilitate smooth communication with internal teams and external partners.
  • Draft and manage communications on behalf of the office, ensuring consistency and compliance.
  • Represent the office professionally in all interactions.
  • Be involved in ad-hoc admin matters.



The Successful Applicant

  • Has 8 years or more of secretarial experiences in similar firm supporting a leader.
  • Strong organisational skills and the ability to manage complex priorities with precision.
  • Proactive, resourceful, and adaptable, with strong business acumens and interpersonal skills, high discretion, and the ability to thrive in a fast-paced environment while engaging effectively with diverse stakeholders at all levels.
  • Proficient in MS Office and experience with virtual meeting platforms (Zoom and MS Teams).
  • Able to travel to the West
