This role provides dedicated executive and administrative assistance to the Head APAC, while assisting people administration and business management activities within the organisation.It offers exposure to management and regional operations in a fast-paced APAC environment.

Job Description

  • Manage the Head of IT dept's Outlook calendar, including scheduling meetings and appointments.
  • Screen and handle incoming calls and correspondence.
  • Coordinate travel arrangements and process expense claims.
  • Prepare and document meeting minutes for management meetings.
  • Organise and coordinate internal events, town halls, and sessions as required.
  • Provide general administrative assistance and undertake ad-hoc duties as assigned.
  • Manage end-to-end onboarding and offboarding of IT resources in a timely manner.
  • Coordinate desk and locker allocations for the IT organisation.
  • Maintain and update the department's organisational chart.
  • Assist invoice processing for Run-the-Bank and Change-the-Bank activities.
  • Coordinate and monitor month-end time booking for management team members.

The Successful Applicant

  • Has 7 years of experience in secretarial and business management role, ideally within the Financial Services industry.
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to work under pressure, meet tight deadlines, and handle priorities.
  • Excellent business acumen, stakeholder management and organisation skills.
  • A proactive approach to problem-solving and assisting management needs.
  • Proficient in MS Office and Concur system.
  • Able to travel to the east.
